So your hot prospect wants a quote before they will place an order with you. ProfitMAKER’s Quote module is dedicated to helping you deliver accurate quotes quickly. Here are some tips when using the Quote Module that should increase your performance. The Quotes Module in the ProfitMaker software has the ability to combine a Request For Quotation (RFQ) from vendors and the quote to the customer into one operation.

The quotes program provides the flexibility to generate quotes for single or multiple vendors, single or multiple quantity breaks, calculate a selling price based on a vendor costs, or determine a cost based on a price and IPC code.

Each quote may have up to 99 line items with RFQ’s to 99 vendors for each line item. A quote may be faxed directly to the vendor or customer.

The accepted quote may be imported directly in to Order Entry, eliminating the need to reenter the line items and color imprint information.

Below are the steps to follow to enter and produce a Vendor RFQ, a Customer Proposal and convert the quote to an order.

1. Enter Quote:   You enter the “base” information about only the product and vendor(s) at this time.  No prices or costs are entered as costs are to come from a vendor. (Skip this step if you are not sending out a Vendor RFQ).
   
2. Generate the Vendor RFQ:   Print or fax the Vendor RFQ to the vendors. This document requests line items costs by supplier from which prices and markups can be calculated for the Customer Proposal.
   
3. Generate the Customer Proposal:   Print or fax a proposal to the customer. It is often useful to follow through to the customer with an email or phone call to make sure they have your quote and understand it.
   
4. Customer Accepts Quote:   Once the customer decided upon which items and price breaks they want to purchase, you can accept those lines in the quote they wish to purchase in ProfitMAKER’s Order Entry module. You will be given the opportunity there to select which lines to accept from the quote into your sales order.
